Faculty & Staff Welfare and Grievance Redressal Cell

 

Objective

To promote the welfare of faculty and staff by addressing their concerns, ensuring a supportive work environment, and resolving grievances in a fair, transparent, and timely manner.

Responsibilities
  • Formulate welfare measures, schemes, and initiatives for faculty and staff.
  • Provide a platform for employees to voice their concerns and grievances without fear of prejudice.
  • Ensure timely redressal of issues related to workplace environment, facilities, policies, or interpersonal matters.
  • Maintain confidentiality and impartiality during grievance handling.
  • Conduct periodic meetings to review welfare activities and grievances received.
  • Recommend policy changes or improvements to management based on recurring issues.
  • Organize welfare programs, workshops, and awareness sessions for faculty and staff.
  • Submit periodic reports on welfare initiatives and grievance redressal to higher authorities.

  • Handle grievances with confidentiality, sensitivity, and professionalism.
  • Maintain proper documentation of complaints, actions taken, and resolutions.
  • Encourage a healthy work culture based on respect, trust, and cooperation.
Protocol to be Followed
  1. The Convenor must use the cell's seal on all official circulars, notices, and documents issued.
  2. Publicize the availability of the grievance redressal mechanism to all faculty and staff.
  3. Establish a clear grievance submission process (written, electronic, or complaint box).
  4. Acknowledge receipt of grievances and ensure they are recorded in the Grievance Register.
  5. Conduct impartial inquiry by discussing the grievance in committee meetings.
  6. Maintain confidentiality of complainants and proceedings at all times.
  7. Address and resolve grievances within a stipulated timeframe (for example, 15 working days).
  8. Communicate resolutions or actions taken to the concerned employee(s).
  9. Organize regular welfare activities, awareness programs, and feedback sessions.
  10. Submit the Meeting Book and Grievance Redressal Report to higher authorities on or before the 5th of every month.
  11. Maintain committee files including:
    • Circulars and notices (with seal)
    • Grievance Register and case records
    • Meeting Books
    • Welfare activity records
    • Reports submitted to management
  12. Submit an Annual Report summarizing welfare measures undertaken and grievances redressed.
