Inauguration & Orientation Committee

Objective

To plan and execute successful inauguration ceremonies and events that reflect the values and vision of Surana College.

Responsibilities

  • Develop a comprehensive event plan outlining objectives, themes, and the program schedule for the inauguration ceremony.
  • Organize and coordinate meetings with stakeholders, including senior management, faculty, students, parents, and invited guests.
  • Arrange logistics such as venue booking, seating arrangements, stage setup, audio-visual equipment, decorations, and formal invitations.
  • Ensure hospitality arrangements for guests during the inauguration event.
  • Liaise with the Website Committee to ensure positive media exposure and coverage.
  • Conduct a debrief session with the organizing team to review the success of the inauguration event.
  • Document all observations and improvements for future events and record them in the meeting books under “Ratifications.”

Protocols to Follow

  • Establish clear timelines and deadlines for each phase of event planning and execution.
  • Prepare and circulate the program schedule to all stakeholders.
  • Develop a budget plan and obtain approvals for expenses related to the venue, catering, decorations, and other event essentials 3 weeks prior to the orientation.
  • Prepare contingency plans for emergencies and unforeseen circumstances.
  • Record all meetings and communications related to the inauguration and orientation.
  • Submit reports, bills, vouchers, invoices, expenditure statements, and meeting books to the Principal within 3 working days from the date of the inauguration.
